Card limits belong in policy, not a spreadsheet

Spend control fails when the limit lives in a sheet nobody opens on the day the card is used.

Most companies have a card policy. Fewer have it at the moment of spend.

A spreadsheet of limits is a document. A limit on the card is a control. The difference shows up in the close, when finance is asked to explain a charge that never should have cleared.

Put the rule on the card

When a teammate books travel, the merchant, the amount, and the budget should already match the policy on that card. If they do not, the card declines. That is kinder than a month-end argument.

What to encode

  • Merchant categories the role is allowed to use.
  • A hard amount, not a note in Slack.
  • An expiry, so unused cards do not linger.

Keep the spreadsheet for planning. Put the limit on the card.
